Inventory billing software does two jobs at once: it produces the invoice your customer receives, and it records the stock that left your shelf. When those jobs run in separate tools, someone has to re-enter every sale, and the stock figure is only as current as the last time they caught up. InventraApp does both in one step. Saving an invoice reduces stock for each line item, so the counter, the godown and the accounts read the same numbers.
What inventory billing software should do
- Create GST invoices from your product list, with HSN codes and tax rates taken from each product's setup
- Reduce stock automatically when an invoice is saved, at the shop or warehouse the sale came from
- Record purchase bills that add stock when goods arrive
- Track full and part payments against each invoice, with a payment history
- Download invoices as PDF to share with customers
- Show sales, stock and low-stock items in reports without exporting to Excel
How billing and stock stay in step
Each product is set up once with its price, GST rate, HSN code and, where needed, variants such as size or colour. When you bill, you pick products from that list or scan their barcodes, so prices and tax come from the same source every time, and stock for each line reduces at the location you billed from.
Purchases work the other way. Recording a supplier's bill adds the received quantities to stock at the warehouse that received them. Because both directions are documents, every change in stock can be traced back to the invoice, purchase or transfer that caused it.
CGST and SGST, or IGST
With your business state and the customer's state saved, intra-state invoices are split into CGST and SGST and inter-state invoices use IGST. GST summaries then come from the same invoices that moved the stock, which makes month-end checks with your accountant much quicker.
Billing software vs inventory billing software
Plain billing software prints an invoice and stops there. It does not know what you have, so staff can sell items that are already out of stock, and stock has to be counted and corrected by hand. Inventory billing software ties each invoice line to a product and a location, so you can see stock before you bill and the stock report is right after you bill. For a growing business, that shows up as fewer stock surprises and less time reconciling.
Who uses inventory billing software
- Retail shops that bill at the counter and need to know what is left on the shelf
- Wholesalers and distributors with long invoices, repeat buyers and customers on credit
- Small manufacturers billing finished goods while recording raw material purchases
- Businesses with a shop and a godown, or several outlets, that need stock per location
Getting started
Start on the free plan with no credit card. Import your products from a spreadsheet or add them by hand, set up your shops or warehouses, and enter opening stock. Most small businesses can raise their first GST invoice the same day. If you outgrow the free plan's limits, paid plans add capacity without changing how you work.
